4. FREQUENTLY ASKED QUESTIONS


What is GMS?

RFU's Game Management System (GMS)
GMS is the RFU's/England Rugby's central database computer system through which players (and club members) are registered and can pay their club membership subscriptions. GMS is also used to hold various club related data such as records of registered players, coaches and referees, fixtures and results, and much, much more.

Tynedale RFC Administrators utilise GMS to administer membership details and payments but individual members are encouraged to login to GMS themselves to directly take up/renew membership and make appropriate payments.

Last season (2023-2024) over 95% of all membership sales were purchased entirely on GMS by Direct Debit, Direct Debit (Installments) or by Card.

Do I already have a GMS Account?
If you are a past-member, a player or a parent, you may already have an account previously set up for you on GMS by a club administrator.

To find out, go to GMS and click on the Forgot Password link to enter your registered email address (or user name) to receive an email link to reset your password (your Club Admin can advise you of both).

If you already have an account, then you should receive an email that allows you to reset your password (please check all folders, including Junk/ Spam folders) and therefore access your account. .



How much does it cost the Club to use GMS to purchase membership?
The GMS software company charge admin fees of 1.95% on all membership purchases made through GMS. This amounts to nearly £1300.



How much is our income from Membership sales?
Last season (2023-2024) we received around £64,000 net of fees and VAT.



If you paid last season's membership by Direct Debit is there a need to do anything for this season's renewal?

ALL members need to renew their membership – even if paying by Direct Debt – memberships do not roll over. If you paid last season by Direct Debit you should not have to complete a new DD mandate however.



Do I need to be a member on the Club's website?

Just to confuse matters it should be pointed out that membership on the club's website simply applies to the website and NOT to the Club. (It allows you to see/do certain things on the website and receive weekly e-mails).



Does a Colts player take out ADULT Player Membership/Subscription or YOUTH Player Membership/Subscription?

The Colts Section are part of the Club's Senior Rugby Section so even though a Colts Player is under 18 at the start of the season he should take out ADULT Player Membership / Subscription.



When purchasing memberships for myself and family how do I ensure appropriate discounts are applied?
1. Ensure all USERS and RELATIONSHIPS are present and correct on GMS.
2. Ensure all of the memberships are purchased together in the same basket/checkout.
3. If when going to checkout the discounts are not as expected do not Pay - select "Delete All" then start again (repeat person/membership selections) or seek advice.
NOTE: If a membership qualifies for more than one discount only one (the largest discount), is applied.


Can I pay by BACS or Bank Transfer?

Yes - by arrangement with one of our Membership Administrators.


Can I pay by Standing Order?
In theory yes, by arrangement with our Membership Administrators. We would rather not however- last season only one out of nearly 700 memberships was paid for by standing order,


Can I pay over the bar at the Club?

Sorry, no - personal details need to be recorded & the till is not yet set up to handle (but we should look at if we can do it)


Can I pay by cash or cheque?

Yes - by arrangement with one of our Membership Administrators.


As in previous years will there be a facility to pay at the opening 1stXV home match of the season on September 14th?

Not confirmed yet but very likely that there will be a Membership Enquiry desk similar to previous seasons.


If I want to join the club is there a form I should fill in?

A form is only required/necessary if GMS is NOT used to process your membership application/renewal.

If I join the club what can I expect to receive in terms of Membership Booklet/Card, Season Ticket etc and how will I receive them (by Post?)

Only Full Members will receive Membership cards which can be used at the gate on 1stXV match days to gain admission. These cards will be available to collect from the club (Saturdays in September at 1st XV home games or Sundays at youth training).
if you cannot collect your card contact one of the administrators who will arrange delivery.
We no longer produce Membership Booklets but do intend producing a digital 'Welcome Booklet' in the near future. In the meantime you should find most of the information you require on this website.


I have purchased a YOUTH PLAYER MEMBERSHIP for my child. Who do I contact to give details of the nominated parent/guardian who will have voting rights etc.
